Who we are
School of Soul is a program of Physician Transformation Institute Inc, a 501(c)(3) not-for-profit organization, which operates the retreat, its website, and its messaging program. In this policy, "we" and "us" refer to the Institute.
Information we collect
When you register for the School of Soul Retreat or one of our live sessions, we collect the information you give us: your name, email address, mobile number, and — for retreat participants — the registration details you complete, including date of birth, passport number, emergency contact, dietary requirements, and health information you choose to share.
We collect this directly from you through our own web forms. We do not purchase personal information from third parties.
How we use it
- To confirm and administer your registration and payment
- To arrange your room, charter flight, and ground transport
- To prepare for your dietary, medical, or accessibility needs during the retreat
- To contact you about logistics by email, SMS, or WhatsApp — only where you have opted in
- To answer questions you send us
SMS and mobile information
We send SMS messages only to people who have explicitly opted in. Mobile numbers and SMS consent are never sold, rented, or shared with third parties or affiliates for their own marketing purposes. Consent covers only Physician Transformation Institute Inc. Numbers are shared with our messaging provider, Twilio Inc., solely to deliver the messages you requested.
You can withdraw consent at any time by replying STOP to any message. See our SMS Opt-In page for full details.
Who we share information with
- Service providers who help us operate — our messaging provider (Twilio Inc.), our email provider, and our payment processor. They may use your information only to provide services to us.
- Retreat venue and travel partners — the minimum needed to arrange your accommodation and transport.
- Legal requirements — where we are required by law to disclose information.
We do not sell your personal information.
Health and dietary information
Health, medical, allergy, and mobility details are treated as sensitive. They are visible only to the retreat team preparing for your stay and to medical personnel in an emergency, and are not used for marketing of any kind.
How long we keep it
We keep registration and payment records for as long as needed to administer the retreat and meet our legal and accounting obligations. You may ask us to delete your information at any time, and we will do so except where we are legally required to retain it.
Your choices
You may request access to, correction of, or deletion of your personal information by emailing us. You may opt out of SMS at any time by replying STOP, and opt out of email marketing using the unsubscribe link in any marketing email. Opting out of marketing does not stop essential transactional messages about a registration you hold.
Security
Registration data is stored in access-controlled systems and is visible only to authorised retreat administrators.
